Question 467

During a documentation audit of an international company, it was identified that the last version of the project schedule was from one month ago even though the project manager knew it was recently updated.

How should the project manager have handled documentation for the project?

    Correct Answer: D

The project manager should have kept the documentation in the project management information system (PMIS) and ensured it was shared with the appropriate stakeholders. A PMIS includes version control and centralized documentation features that help maintain and distribute the most current versions of project documents. This approach directly addresses the issue of having outdated documentation by ensuring that everyone has access to the updated project schedule.

Discussion
KennyMuffinsOption: D

Correct me if i am mistaken of the english in the question. "latest version was one month ago", but "project manager knew it was recently updated" Doesnt this imply that the project schedule was recently updated but PM is referencing the wrong version? Wouldnt this then mean that proper version control is needed to ensure artifacts are updated and latest version is acquired.

Uncle_LuciferOption: D

Project management plan is for planning. updating management plan has nothing to do with updating the actual project document. --->D

Only12goOption: D

Option D, on the other hand, specifically recommends keeping documentation in the project management information system (PMIS). A PMIS is designed to centrally store, update, and distribute project information, including the project schedule. By keeping documentation in the PMIS and sharing it with the appropriate stakeholders, the project manager would ensure that stakeholders have access to the most recent version of the project schedule, directly addressing the issue identified in the audit.

adingmakiOption: D

be careful with the word all. I work with google and we don't share some documents with project coordinators. These stakeholders could change the documents, delete it, alter, tamper, and etc. D is correct.

aishOption: D

Project Management Information Systems (PMIS) often include version control features to track changes and revisions made to project documents and artifacts. This helps in maintaining a history of updates and ensuring that the most recent and accurate information is available to the project team.

SteAleOption: D

The project management plan doesn't include a project schedule. It includes the schedule baseline. So, the best option is D

Neil20Option: A

A is correct!

rknowlesOption: A

The PMBOK states that when a project schedule is updated, the corresponding changes should be applied to the project management plan.

Piz7Option: A

This is A

d482858Option: A

The problem the PM had was the documentation wasn't updated regularly . You can still store the documents in the PMIS and not update them frequently. I chose A:

Bruce_LiuOption: A

Question is asking for regular update to keep doc up to date but not have to use document system.

josephsafiranOption: A

Keeping documentation in the project management information system (PMIS) and sharing it with appropriate stakeholders (Option D) is a good practice, but it should be coupled with regular updates to ensure that the information remains current.

David983Option: A

Agree with A more suitable than D, option D doesn´t mention "updated documentation" and just said "Kept Documnt",

David983

Switch to D, adingmaki is right, the words "all stakeholders" do the option A a wrong option

1234abcdefghOption: D

D. Kept documentation in the project management information system (PMIS), and shared it with appropriate stakeholders

victory108Option: D

D. Kept documentation in the project management information system (PMIS), and shared it with appropriate stakeholders

JamrockOption: A

the reasons others give for picking D. are just odd, to put it mildly. Answer to A may be misleading BUT not seeing that D. does not address the question is bad reading comprehension. PMIS approach does not guarantee having the PIMS version updated regularly.

AlekhyaTOption: D

Project management plan doesnt include project schedule. only it will have schedule baseline. so best option is D
