MS-700 Exam - Question 27

You work as a Systems Administrator for your company. The company has a subscription to Microsoft 365. All users in your company have a Microsoft 365 E3 license.

All users use Microsoft Teams for collaboration.

A company security policy has the following requirement:

✑ All files used in personal chats or team collaborations must be retained for a minimum of one year.

You need to configure a retention policy to meet the security requirement.

Which two locations should you apply the retention policy to? (Choose two)

Show Answer
Correct Answer: AD

In Microsoft 365, files used in personal chats are stored in OneDrive accounts, and files from team collaborations are stored in SharePoint sites. To ensure that all files used in personal chats or team collaborations are retained for a minimum of one year, you need to configure retention policies for both OneDrive accounts and SharePoint sites. This approach aligns with the way Microsoft Teams handles file storage: personal chat files are placed in the user's OneDrive, while team collaboration files are saved in the associated SharePoint site.

Correct. A - when user uploads/shares a file to/in personal chat with someone that file automatically appears under the sharing user OneDrive Account in "Teams Chat Files" folder with appropiate rights automatically assigned to the user to which that file is shared. D - all Teams channels (whether private or public) files are saved in SharePoint.

I fully agree since we are talking about TEAMS and not in generel about sharepoint and onedrive. We want that TEAMS collaboration messages should be retained in Sharepoint sites (for channels) and TEAMS chat messages should be retained in Onedrive. If we would enable Sharepoint and Onedrive in our retention policy, then ALL messages, not only from Teams, will be retained, what is NOT what we want here.

To meet the security requirement of retaining files used in personal chats or team collaborations for a minimum of one year, you should apply a retention policy to both Teams chat and Teams channel messages. Teams chat: Retention policies can be applied to individual conversations or entire chat history in Teams, so that any files shared in personal chats will be retained for the required time period. Teams channel messages: Retention policies can be applied to entire channel conversations, so that any files shared in team collaborations will be retained for the required time period. It's worth noting that retention policies are not applicable for OneDrive accounts and SharePoint sites, those are used for file storage and management, retention policies are applied to messaging platforms (email, chat, etc) and the content stored in them.

Correct answer is C&E. Team sites connected by Microsoft 365 groups aren't supported with retention policy for SharePoint & One drive locations, hence need to apply a static or adaptive scope for retention policy to Teams chat and Teams channel messages location. https://learn.microsoft.com/en-au/microsoft-365/compliance/retention-settings?view=o365-worldwide#configuration-information-for-sharepoint-sites-and-onedrive-accounts

Question specifically calls for the *files* in Teams chats and channels, if were to only apply retention as you suggest you would not retain files, only chats, you could receive a "File not found" error

" (...) A retention policy applied to Microsoft 365 groups, SharePoint sites, or OneDrive accounts can delete files referenced in a Teams chat or channel message. In this scenario, the file still displays in the Teams message, but they get a "File not found" error when users select the file. This behavior isn't specific to retention policies. It could also happen if a user manually deletes a file from SharePoint or OneDrive. The retention policies applied to the user or group mailboxes in the Exchange or Microsoft 365 Groups locations don't affect Teams chat and channel messages. Even though Teams chat and channel messages are stored in Exchange, they're affected only by a retention policy applied to the Teams location. C&E. https://learn.microsoft.com/en-us/microsoft-365/compliance/retention-policies-teams?view=o365-worldwide Although data from Teams chats and channel messages are stored in mailboxes, you must configure a retention policy for the Teams channel messages and Teams chats locations. Teams chats and channel messages aren't included in retention policies that are configured for Exchange user or group mailboxes. Similarly, retention policies for Teams don't affect other email items stored in mailboxes. If a user is added to a chat, a copy of all messages shared with them are ingested into their mailbox. The created date of those messages doesn't change for the new user and remains the same for all users.

The correct answer is C. Teams chat and E. Teams channel messages. To meet the security requirement of retaining all files used in personal chats or team collaborations for a minimum of one year, you need to create a retention policy in the Microsoft 365 Compliance Center and apply it to Teams chat and Teams channel messages.

The correct answer is A & D and not C & E. A retention policy on Teams chat and Teams channel messages is to retain MESSAGES. The question states to retain FILES. Files from chats are stored in ONEDRIVE and files from channels are stored in Sharepoint. The correct answer is thus A & D.

The correct locations to apply the retention policy, in order to retain all files used in personal chats or team collaborations for a minimum of one year, are C. Teams chat and E. Teams channel messages. These two locations correspond to the places where Teams stores chat and collaboration content. Personal chat messages are stored in the sender’s mailbox, and channel messages are stored in the team’s SharePoint site. Therefore, applying the retention policy to these locations will ensure that all files used in personal chats or team collaborations are retained for the required period. Applying the retention policy to A. OneDrive accounts and D. SharePoint sites would not be sufficient to meet the requirement, as these locations do not cover all the places where Teams chat and collaboration content is stored. OneDrive and SharePoint are used for file storage in Microsoft 365, but they do not directly store Teams chat messages or channel messages.

The two locations you should apply the retention policy to are: OneDrive for Business SharePoint Online Explanation: OneDrive for Business: This is where files shared in personal chats (1:1 or 1 ) in Microsoft Teams are stored. Each user's personal OneDrive account stores these files. SharePoint Online: This is where files shared in team channels or team collaborations are stored. Each team in Microsoft Teams has an associated SharePoint site where files shared within the team are kept. By applying the retention policy to both OneDrive for Business and SharePoint Online, you ensure that all files shared in personal chats and team collaborations are retained according to the company’s security policy.
